Switching guide

Move your business to SAPUGO in five steps

Coming from spreadsheets or a mix of tools? Follow these steps in order and your team keeps working while you switch.

  1. 1

Write down how work flows today

List what you track and who touches it. Customers, orders, jobs, projects: each one usually becomes a table.

    • Which spreadsheets and tools you use
    • Who enters data, and who only reads it
    • What happens step by step, for example from quote to invoice
  2. 2

    Describe your business to SAPUGO

Start a free workspace and describe your company in a few sentences. Review the proposed tables, views, and workflows before anything is created.

    • Name your main records
    • Mention the stages work goes through
    • Say who should see what
  3. 3

    Import your data

Export each sheet as a file and import it into the matching table. Then link related records, like orders to customers.

    • Clean up duplicates before importing
    • Import the main lists first, then the records that refer to them
    • Check a few records by hand
  4. 4

Set permissions and invite your team

Decide who sees which tables, rows, and fields. Then invite your team and show them their views.

    • Create groups for roles like office, field, and finance
    • Hide prices or salaries where needed
    • Invite a few people first, then everyone
  5. 5

Run both for a week, then switch

Work in SAPUGO and keep the old sheets read-only for a week. Once everyone is comfortable, archive them.

    • Add the first workflows, like reminders
    • Collect feedback from the team
    • Make the old files read-only
